Responsibilities and Duties:
- Accurately handling routine and administrative affairs of the Office of the University President
- Responding to and guiding visitors and clients
- Managing telephone communications between the President and individuals inside and outside the university
- Preparing schedules and coordinating the President’s meetings, appointments and programs
- Receiving documents, records, correspondences, files and materials sent by other departments
- Communicating directives issued by the President to individuals, departments, and affiliated units based on established policies
- Sorting, classifying, and distributing letters, documents, and correspondences
- Preparing records, documents, and correspondence related to the President’s meetings
- Organizing appointments and meetings for the President and coordinating all necessary arrangements (including hospitality and protocol)
- Supervising the cleanliness and order of the President’s office and ensuring procurement of necessary office supplies
- Safeguarding all records, documents, and correspondence related to the President’s Office
- Using text processing software, handling emails, fax communications, etc.
- Drafting letters as needed
- Closely supervising the movement, replacement, and repair of furniture, facilities, and equipment in the President’s Office
- Recording and maintaining all required information in relevant software systems
- Preparing and submitting reports on ongoing tasks to the University President
- Following up on assigned matters from the President’s Office and submitting necessary reports
- Fully complying with relevant directives, procedures, and regulations
- Participating in training and professional development programs related to the organizational position
- Performing any other tasks assigned by the superior authority
